Adding an Expense Chartstring to a Line Item Budget

This article covers adding a new chartstring, both adding new fields to an existing line item chartstring and a completely new chartstring for an expense, in the Ananplan system.

This article explains how to add a Chartstring to a line item budget in Anaplan.  Both adding a completely new Chartstring and adding or changing values on an existing item are explained.

 

  1. Step 1

First, log into the UGA Budget Managment System (Anaplan).

Under the Line Item Budgeting section,  click the 04.02 Line-Item Budget - Expense button. 

 

  2. Step 2

The 04.02 Line-Item Budget Template - Expense page is displayed for your approved departments.

From here, you can review the existing charstring information, filter the chartstring view, add a chartstring, and add a new chartstring (full COA).

  3. Step 3

To add new Account, OP Unit, or CF1 information to an existing Chartstring,

click the Add Chartstring (New Account, OP Unit, CF1) button.

  4. Step 4

The Add Chartstring (New Account, OP Unit, CF1) menu is displayed.

To enter new Account information, click the Account Parent Exp field.

  5. Step 5

The Account Parent Exp options are displayed, which are the first three digits of an account code.

Click the appropriate Account Parent Exp option.

  6. Step 6

Enter the appropriate information in the Account field.

To view all partial matches to the account code, 

click the Show all option. 

   Step 8

All partial matches are displayed.  

Click the appropriate Account option.

  9. Step 9

Continue entering information in the Operating Unit and CF1 fields if required.

Once all information has been entered, click the Add Account checkbox.

Note:  If you do not select Account Parent Exp information, a warning stating "The value entered is not valid" appears under the Account field. The new information can still be processed. 

  10. Step 10

To submit, click the Add Chartstring button.

  11. Step 11

The Add Chartstring processing pop-up is displayed.  

To view the process steps, click the Process steps link.

  12. Step 12

The process steps are displayed.

  13. Step 13

The new chartstring information is displayed along with a "Process Successful." message.

  14. Step 14

Click the Close [X] button to exit.

  15. Step 15

To add a full chartstring,

click the Add New Chartstring (Full COA) link.

Enter the appropriate information in the D4 Dept field.

Enter the appropriate information in the F3 Fund field.

If needed, enter the appropriate information in the Operating Unit and CF1 fields.

Once all information has been added,

click the Add Account checkbox.

Click the Add New Chartstring button.

The Add New Chartstring process pop-up is displayed. If you need to stop the processing, click the Cancel button.

The new chartstring information is displayed along with a "Process Successful." message.

  27. Step 27

New expense lines require an amount to  in the appropriate Fiscal Year Proposed Budget to be saved in the system.

  28. Step 28

Enter the appropriate information in the expense line FYXX Proposed Budget field.

Press the Tab or Enter button.

The value is displayed in the FYXX Proposed Budget field and the FYXX vs FYXY Bduget Variance fields.
