Working with Vacant Positions in Anaplan

This article explains how to add and remove a vacant position to a funding distribution.

   Overview   

This article explains how to add and delete a vacant position from a Departmental Budget.

 

  1. Step 1

First, log into the UGA Budget Managment System (Anaplan).

Under the Position Planning Roster section, click the 06.02 Position Planning Roster - Vacant Position button. 

 

  2. Step 2

The Position Planning Roster - Vacant Positions page is displayed.

To view more information, click the Instructions link.

  3. Step 3

The Instructions window is displayed at the bottom of the page.

To begin working with a vacant position, click the Include in Budget? link.

  4. Step 4

Click the appropriate Position Row.

  5. Step 5

The Include in Budget? window is pre-populated with information available in the system.

  6. Step 6

Enter the appropriate information in the Budgeted Amount field.

Note: The Start Date field is automatically populated with the start of the next fiscal year. This can be edited on a separate page.

  7. Step 7

Enter the appropriate information in the Combo Code field.

Note: Entering partial data in a field will populate all matching values.

Click the appropriate value from the Combo Code field results.

  9. Step 9

Once all information is entered, click the Include in Budget? checkbox.

Note: The Dist % defaults to 100%.  This can be edited on a separate page.

  10. Step 10

Click the Include In Budget button.

  11. Step 11

The Include in Budget Processing pop-up is displayed.

Note: If necessary, you can click the Cancel button to stop the process.

  12. Step 12

The Include in budget? column is updated for the selected vacant position, and a "Process Successful" pop-up is displayed.

To confirm the vacant position's addition, right click the 06.01 Position Planning Roster link.

From the context menu, click the Open Link in New Tab option.

Click the 06.01 Position Planning Roster tab.

The 06.01 Position Planning Roster page is displayed.

To narrow the search results, enter the (full or partial) Position Number in the Find... field.

  17. Step 17

Click the appropriate link from the Search results.

  18. Step 18

The selected position information is displayed including, Position, HR Home Dept ID, Funding Validation, etc.

  19. Step 19

To return to the Vacant Position page, click the 06.01 Position Planning Roster Tab Close [X] button.

  20. Step 20

The Vacant Positions page is displayed.

To review or edit, right click the 06.05 Edit Funding Distribution link.

From the Context menu, click the Open Link in New Tab option.

Click the 06.05 Edit Funding Distribution tab.

  23. Step 23

The Edit Funding Distribution page is displayed.

To narrow results, enter the (full or partial) Vacant Position ID in the Find... field.

Click the appropriate link from the Search results.

The selected position information is displayed including full chartstring, Effective Date, Comp Code, Comp Rate Code, etc.

If necessary, scroll right to view additional information.

  26. Step 26

To return to the Vacant Position page, click the 06.05 Edit Funding Distribution Tab Close [X] button.

  27. Step 27

The Vacant Positions page is displayed.

To remove the vacant position, select the appropriate row and click the Remove from Budget? checkbox.

  28. Step 28

Click the Remove from Budget button.

  29. Step 29

The Include in Budget checkbox is removed, and a "Process successful." pop up is displayed.
